Real Estate Agent Call Notes: Keep Client Terms Straight

By the daglo team · October 21, 2026

Every client's terms, summarized from calls

Are you still keeping the seller's price in a notebook and the buyer's preferred closing date in your head? When dozens of inquiry calls come in each day, it's easy to mix up who asked for what, and one misremembered detail can sink a deal that was almost done.

Client management for real estate agents means keeping track of what each client wants and where every deal stands, from the first inquiry to the signed contract. daglo transcribes and saves your calls, then highlights key points like prices, dates, and special conditions in a summary. Recordings move into daglo on their own, so there's no file to find and upload.

Why real estate calls need a record

Most of the back-and-forth in a property deal happens over the phone. As an agent, you're relaying what one side said to the other, and a single wrong number can shake everyone's trust. That's why being able to reread a call exactly as it happened matters so much.

In Korea, agents handle more than sales. Many deals are leases, including jeonse, a common arrangement where a tenant pays a large lump-sum deposit instead of monthly rent. Deposit amounts, move-in dates, and repair responsibilities are all negotiated by phone, which makes accurate call records even more valuable.

Inquiry calls: capture what each client wants in one go

On a first call, people looking for a home usually share their budget, preferred area, move-in timing, and must-haves all at once. With a call summary saved, you can shortlist matching listings and call back without asking the same questions again.

  • How to use it: you never know when an inquiry will come in, so turn on Transcribe All Calls. Every recorded call is saved as a transcript and summary.
  • Ask Board Chat: "Put this client's budget, preferred area, move-in date, and must-haves in a table."

Copy those terms into your client list, and when a new listing appears, you'll know right away who to call first.

Negotiating between buyers and sellers: relay each side's words accurately

Price adjustments, closing dates, and the scope of repairs go back and forth between two parties, and relaying them wrong once is hard to undo. With your calls on record, you can confirm what each side actually said before you pass it on.

  • How to use it: add the numbers of the buyers, sellers, landlords, and tenants in your active deals to Transcribe Selected Contacts Only, so only those calls are saved.
  • Ask Board Chat: "Show the price and closing date the seller said they'd accept next to the conditions the buyer asked for."

Skim the call summaries before you draft any special terms in the contract, and you're far less likely to leave out something both sides agreed to verbally.

Rental management calls: never lose track of repair requests and dates

The calls don't stop once the lease is signed. Tenants report repairs, landlords respond, and both sides talk about renewal. With a record, you can see who asked for what and when, and respond right away.

  • How to use it: set a rental management space and folder as the save location, and all related calls collect in one place.
  • Ask Board Chat: "From this call, list only the repairs the tenant requested and what I need to tell the landlord."

How to set up call records for your agency

You only need to set it up once. After that, just record your calls, and transcripts and summaries pile up neatly in daglo. For a full overview of the feature, read our guide to call recording summaries.

  1. In the daglo app, go to More → App Settings → Features → Call Recording Transcription.
  2. Turn on Transcribe All Calls or Transcribe Selected Contacts Only, and allow the required permissions.
  3. Choose the space and folder where your records will be saved. If you chose Selected Contacts Only, add the numbers of the clients in your active deals.
  4. Turn on call recording in your phone app. When a call ends, a transcript and summary appear in the folder you chose.

Each person's lines are shown separately, so you can tell your client's words from your own explanations at a glance. Set it up today, and the terms from your next call will live in a record, not just your memory.

Note: call recording transcription is currently available on Android only. It supports calls recorded with the Samsung Phone, A. (T Phone), and LG U+ ixiO apps.
